An answering service
for HVAC
and plumbing.
She knows the difference between a unit making a noise and water coming through a ceiling. One books for Tuesday. The other wakes somebody.
What she handles without pulling you off the job.
Emergencies, sorted from the rest
Water, gas, no heat in January, no cooling in August. Your rules decide what wakes a tech, and she applies them at three in the morning exactly the way she does at noon.
Service calls booked
Takes the address, the system, the symptom and how long it's been doing it, and puts it in a real slot rather than a callback list.
Maintenance and seasonal
The tune-up that has been on your list since spring, booked while the customer is thinking about it instead of when you get round to calling.
Never a price over the phone
A diagnostic fee if you gave us one. A replacement quote never, because that depends on what's up there.
The 2am call is the one that pays.
A no-heat call at two in the morning in January is a customer who will pay whatever it costs and remember who picked up. It is also the call most small HVAC outfits miss, because the owner is asleep and the answering service takes a message.
She answers it, works out whether it's genuinely an emergency by your definition, and either wakes your on-call tech or books first thing and tells the customer so. Either way somebody answered.
The rest of the year the same line takes the calls that come in while both hands are in an attic. That's most of them.
August and January are the whole business.
Every HVAC company in Texas has two months that make the year and ten that pay the bills. In those two months the phone does something a small crew physically cannot answer.
She answers ten calls at once, and because the price is flat, your busiest month costs exactly what your quietest one does. A per-minute answering service does the opposite.

Common questions
The things owners ask us.
Will it know what's an emergency?
By your rules, agreed before it goes live. No heat below a temperature you set, no cooling above one, water, gas, and anything that makes a house unsafe.
Everything else gets booked for the morning and the customer is told that plainly, so nobody is waiting up for a truck that isn't coming.
Will it quote a replacement?
No. A system replacement depends on what's actually up there, and no shop has been hurt by a receptionist that says a technician will price it properly.
Flat items you give us — a diagnostic fee, a service call charge, a tune-up — she'll quote exactly as you wrote them.
Can it dispatch to my on-call tech?
Yes. She can warm-transfer with the address and the fault already stated, so your tech picks up knowing what he's going to.
If he doesn't answer she moves to the next person on your list rather than leaving it.
How much does an answering service for an HVAC company cost?
From $89 a month for about 40 calls up to $850 for about 800. Most companies sit at $300, which covers roughly 200 calls.
Flat, with no per-call charge — which matters more in this trade than most, because your call volume triples in August.
The next call is already on its way.
Half an hour is enough to know whether she'd work for you.
